Microsoft can change plan names, features, billing choices and prices. A renewal is a useful point to check what the business is paying for and whether each licence still suits the person using it.
Do not rely on an old article or a general percentage to estimate the next invoice. The actual options depend on the business's current agreement, renewal date, supplier and Microsoft terms at that time.
Start with active users
Compare the licence list with current staff and shared services. Look for accounts belonging to people who have left, duplicate licences and subscriptions that no longer support a business need.
Do not remove a licence or delete an account until the person's email, files and retention requirements have been checked. Saving a licence is not worth losing a business record.
Match the plan to the work
Microsoft 365 plans can include different combinations of desktop applications, business email, file storage, Teams, security and device management.
Ask what each person needs to do. A staff member who uses a managed laptop and handles sensitive information may need different features from an account used only for a limited shared task.
Business Premium can add security and device management features beyond Business Standard, but the licence alone does not configure them. The extra features only help when they are set up and managed properly.
Check Teams and optional services
Microsoft may offer plan choices with different inclusions, and optional products such as Copilot may be licenced separately or through a particular offer.
Confirm availability and terms for your own Microsoft 365 service. Before adding an AI product, also decide what information staff may enter, how results will be reviewed and whether the business's privacy and security settings are ready.
Compare commitment and billing choices
A longer commitment may suit a stable team, while a more flexible arrangement may suit a business with changing staff numbers. Billing frequency and commitment length are not always the same thing.
Ask the provider to explain:
- the commitment period
- the billing frequency
- the renewal date
- what can change during the term
- what happens when staff numbers fall
- the notice needed before renewal
Compare the actual options in writing. Avoid choosing from a headline saving without checking the conditions.
Keep support and licensing clear
Licensing, IT support, security and backup are related but separate. The proposal or agreement should show what each service does and who is responsible for managing it.
A cheaper licence does not help if the business loses needed security or staff cannot use an essential application. Equally, paying for a feature nobody uses is waste.
Review before the renewal deadline
Start early enough to check staff, data and contract terms without rushing. Record the final decision, renewal date and owner for the next review.
